How To Get Qualified + Interested Applicants Automatically
When I was a recruiter I dreamt about coming into work to an inbox filled with qualified and interested applicants for my open jobs.
Creating amazing saved boolean searches, having great data entry, and sending mass templated SMS messages from my browser was as close as I got in 2015.
Today, the full dream is possible and I’m going to show you how.
This is what the process looks like:

Notify recruiter of qualified + interested applicants

#1 AI Auto Match + Auto Submission
This starts the party.
AI Auto Match utilizes Semantic Job Matching AI/ML but is triggered in a job based automation.
That provides more control over what types of jobs you want to trigger the Auto Match.
There is also additional candidate logic you can add to create your own custom matching rules.
(I’m going to explain how to do the above in depth next week)
As you see below you control how many candidates match, within what distance radius, the match percentage, and ensure matched candidates are part of a list (this one is the key to creating your own matching logic)
The bottom setting kicks off the next step, creating a submission automatically with a custom submission status.
As you see below we have created submissions inside the ATS with out custom submission status.
That leads to the next step, messaging candidates to see if they are interested.
#2 Dynamic Message to Candidate With Dynamic Knockout Engagement
The custom submission status triggers a submission based automation where we send an engagement to any submission with the Auto Match submission status.
We merge in details about the job so candidates get enough information in the subject line and body of the email to be interested.
At the bottom of the message they are invited to answer a few questions to ensure they’re a good fit for the role.
This is where dynamic knockout questions come in.
Dynamic Knock Out Questions
Think of these questions as deal breakers. If an applicant answers no to the question they can’t be considered for the role.
Systematize this in your job record field mappings.
Add three custom fields.
KO 1
KO 2
KO 3
Merge those custom fields as merge tags into the engagement to create dynamic knockout questions for all of your jobs.
Structure what you put into those fields as yes/no type questions that if an applicant answers no to they wouldn’t be a fit for the role.
An example from my own recruiting past:
Job: Forklift Operator
KO 1 - Are you willing and able to work 12 hour shifts?
KO 2 - Are you Forklift Certified?
KO 3 - Are you willing and able to lift 50 pounds?
If an applicant responded no to any of those questions they wouldn’t be a fit for the role.

#3 Engage With Knocked Out Applicants
Even if a candidate isn’t a fit for this particular role they could be a fit for another one and we certainly want to engage them so they aren’t ghosted.
A separate submission based automation finds anyone who completed the knockout engagement and answered no to ANY of the knockout questions.
Their submission status changes to rejected and a message is sent.
In that message we are deliver the bad news that they aren’t a fit for this position but combine it with our semantic job matching to merge in additional jobs they might be interested in.
By communicating and providing additional jobs we provide a better candidate experience and create a flywheel effect where candidates can easily apply to additional positions they are interested in.
The above takes care of knocked out applicants.
Below is for applicants that make it through the knockout questions.
#4 Notify Recruiter of Qualified + Interested Applicants
Create an automation to change their submission status and send a notification to the recruiter that they have an applicant who it is interested and qualified.
Include relevant information about the job and the candidate in the notification (including contact information if you want to contact them straight from the email).
Also include a link to view the submission or candidate inside the ATS.
